Material shot in the morning can be on an editor's timeline that evening. The path it takes is a fixed sequence of steps, each guarding against a particular failure.
Copying is a verified operation
Cards come off the camera and are copied by a dedicated crew member, never by dragging files in a file browser.
Purpose-built software writes multiple copies simultaneously and computes a checksum for each file, then reads the copies back and compares.
Only when the verification passes is a card cleared for reuse, which is the point at which the original ceases to exist as a safety copy.
More than one copy, in more than one place
Standard practice is at least two copies on separate drives, with one leaving the location separately from the other.
The reasoning is straightforward: drives fail, and vehicles and buildings are single points of failure that a second location eliminates.
Some productions add a third copy that begins uploading immediately, so that material exists off site before the shooting day ends.
Transcoding makes the footage usable
Camera originals are large and demanding, and few people who need to review the day's work have systems capable of playing them smoothly.
Dailies are therefore transcoded into a lighter format with burned-in information such as timecode, scene identification and take number.
Those overlays are what allow a director's note about a specific moment to be located precisely later, without ambiguity about which take was meant.
A viewing look is applied, not baked in
Footage shot in a flat, wide-latitude profile looks lifeless without adjustment, which makes reviewing it misleading.
A viewing transform supplied by the cinematographer is applied to dailies so that everyone sees an approximation of the intended look.
The originals remain untouched, because the actual grade happens much later, and baking a look into the working material would remove options that finishing depends on.
Distribution is controlled
Unreleased material is sensitive, so dailies are distributed through systems that authenticate viewers and often apply visible identifying marks.
Those marks are individual to each viewer, which is what makes a leaked file traceable back to the account it was issued to.
The overhead is accepted because the alternative, uncontrolled copies circulating during production, has consequences that no security measure can reverse afterwards.
Delivery is also scheduled rather than continuous, so that the editorial team receives a complete, labeled day of material rather than files arriving individually through the night.
